Privacy Policy

This Privacy Policy describes how PetMyDear ("we," "us," or "our") collects, uses, and shares information when you use the PetMyDear provider portal at provider.petmydear.com, the PetMyDear consumer website at petmydear.com, and the PetMyDear mobile application (collectively, the "Services").
Note: This policy is a framework document. A legally reviewed and jurisdiction-appropriate version must be finalized before the public launch. Do not rely solely on this document for compliance.
1. Information we collect
Provider account information
When you register a practice, we collect: your name, work email address, phone number, role at the practice, business name, address, and website. We also collect information you choose to add to your profile, such as a practice description, photos, business hours, and services.
Account credentials
Passwords are never stored in plain text. Authentication credentials are managed through our identity provider and are never accessible to PetMyDear staff.
Usage information
We collect information about how you use the Services, including pages visited, features used, and actions taken in the provider dashboard. This helps us improve the product and understand how providers use the platform.
Communications
When you send us a message, submit a support request, or communicate through our platform, we retain that communication for operational and compliance purposes.
Pet owner information (separate scope)
Pet owner accounts, pet records, and health data are maintained in a separate data scope. Providers access pet owner information only when an authenticated owner explicitly grants consent for a specific purpose, pet, and time window. Provider accounts do not have general access to pet owner data.
2. How we use information
- To operate the Services and verify your practice identity
- To display your practice in the provider directory
- To route appointment requests and deliver notifications
- To provide customer support and respond to inquiries
- To detect fraud, abuse, and violations of our policies
- To comply with legal obligations
- To send transactional communications (never marketing without separate consent)
3. How we share information
We do not sell your personal information. We share information only:
- With service providers who process it on our behalf (hosting, email delivery, analytics) under data processing agreements
- With pet owners to the extent your public profile information is visible in the directory or your practice is referenced in an appointment request
- With law enforcement or regulators when legally required
- In connection with a business transfer (merger, acquisition) with notice to you
Your private contact details, claim evidence, and staff data are never included in public profile API responses.
4. Pet health data
Pet health data shared by owners through the platform is processed under a strict least-privilege model. Providers access it only with an active, non-expired, non-revoked consent grant. This data is never used for advertising, marketing analytics, AI training by default, or shared with third parties outside the scope of the grant.
5. Data retention
We retain account data for the duration of your relationship with us plus a reasonable period thereafter for legal and operational purposes. Audit logs are retained for a minimum period required by applicable law. You may request deletion of your account data subject to legal retention requirements.
6. Your rights
Depending on your jurisdiction, you may have rights to access, correct, delete, or port your personal data. To make a request, contact us at privacy@petmydear.com. We will respond within 30 days.
7. Cookies and tracking
We use cookies and similar technologies for authentication session management, security, and analytics. We do not use third-party advertising cookies without your consent. Our analytics providers are configured to process data in a privacy-preserving manner.
8. Security
We implement reasonable technical and organizational measures to protect your data. See our Security page for more detail. No system is perfectly secure; report suspected incidents to security@petmydear.com.
9. Changes to this policy
We may update this policy. Material changes will be communicated by email or in-product notice before they take effect. Continued use after the effective date constitutes acceptance.
